"Compact" is too restrictive when three people are sharing. "Full size" is wasteful for one. We support per-traveler-count caps and per-trip-purpose caps, with override flows for legitimate exceptions.

  • Class caps by group size — solo: economy / compact; 2–3: midsize; 4+: full size or larger.
  • Insurance defaults per market — LDW always-on in US; varies in EU based on credit-card coverage.
  • Ground-transport substitution — short urban trips suggest rideshare; long-haul suggests car.
  • Fuel option control — pre-paid fuel disabled by default (almost never economic); travelers can override.

Rental-car insurance is one of the most over-bought line items in corporate travel — and one of the most dangerously skipped. The right default depends on country, credit card, and corporate liability policy. We pre-configure all three.

United States

LDW always on

Loss damage waiver included by default. US credit-card coverage is patchy and exclusions complex; corporate policy treats it as required.

Europe

CDW + theft, market-specific

CDW + theft included in most markets. Per-country rules for excess reduction. Italy, Spain, Portugal default higher coverage.

Liability

SLI / LIS included

Supplemental liability insurance bundled where state-minimum is insufficient. $1M default, configurable up to $2M for premium plans.

Common questions on car rental.

Will my CDP / IATA / negotiated codes work?

Yes. Existing CDPs and IATA discount codes load during onboarding and apply automatically. Loyalty (Hertz Gold, Enterprise Plus, Avis Preferred, Sixt Express, Europcar Privilege) earns to traveler accounts. We don't lock benefits to corporate.

What about ride-share alternatives like Uber for Business?

For short urban trips we surface ride-share as an alternative when policy allows. We don't issue Uber for Business directly — you connect your existing UFB account or have travelers expense rides on Travel Code-issued cards. Both flows preserve full audit and policy enforcement.

How do you handle one-way drops and cross-border rentals?

Both supported. One-way drops surface drop fees up-front; cross-border rentals (esp. EU) flag border crossings with the rental brand and apply correct insurance for destination country. For Eastern Europe, Africa, and parts of Asia we route to specialist programs.

Can the corporate card be charged at pickup, not the traveler's personal card?

Yes — virtual or physical Travel Code-issued cards can authorize at pickup. Most majors accept; for Avis Budget specifically, the traveler still presents a physical card at the desk but billing routes to corporate. We'll cover the specifics during onboarding.

Do you cover EV rental?

Yes. EV vehicle classes ("Tesla Model 3 or similar") surface in search where the rental brand stocks EVs. Charging policies vary; we surface the rental's specific terms (return charged vs. flat fee) at booking.
